Office Manager
Receptionist, UK

Superb opportunity for an enthusiastic and talented office manager/receptionist to work within a busy PR company operating in the film, tv and entertainment industry.

We are looking for a confident, highly organized individual with excellent written and verbal communication skills and a welcoming disposition who can take sole responsibility for the for the day to day running of the office while covering reception; an ability to work under pressure and a 'can do' attitude when it comes to mucking in and taking responsibility for basic day-to-day tasks; ability to prioritise effectively and meet deadlines; and have excellent IT skills and proficiency in a variety of software packages: Word, Excel and PowerPoint.  The candidate will have at least two years experience covering both reception and office management.

To work as the Office Manager/Receptionist for DDA Public Relations, based in DDA Group offices in Victoria, London reporting to the Chief Operating Officer.

Duties to include, but not necessarily exclusive to, the following:

Key Responsibilities:

  • Reception, answering telephones, meet and greet visitors, arranging cover as necessary
  • IT support (through our IT support company)
  • Maintaining office supplies, stationery and equipment
  • HR – overseeing HR procedures, internships, managing holidays/sickness, offer letters and contracts, personnel files and records, staff handbook
  • Telephone support (Switchboard and Mobiles)
  • Office Maintenance, security, layout
  • Post, in and out, couriers, taxis
  • Insurances
  • Providing ad hoc admin support to teams as required, including assisting at film premieres
  • Health and Safety, keeping policies up to date and ensuring they are observed

This includes developing and managing international budgets, tours, junkets and festival launches. The DDA UK Publicity team is currently looking for interns to spend up to four weeks in the department starting as soon as possible. The DDA UK Publicity team works alongside renowned distributors to promote titles through exciting theatrical and home entertainment campaigns. Within that, the team covers film premieres, press junkets, press conferences, screenings and a range of film/television based activity targeting UK based print, online and broadcast press.
